Entry Process & Categories
In 2023, the BTN Group established the Business Travel Sustainability Awards Europe in acknowledgement of the importance of this issue for our industry and in recognition of the role we can perform in protecting the environment.
The Business Travel Sustainability Awards Europe judges are particularly keen to understand how your company has worked to reduce the environmental impact of its internal operations, serve corporate travel and meetings customers and how it has pushed to advance the mission of environmental sustainability within the business travel industry.
To that end, the awards application process will ask specifically how companies have distinguished themselves by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate customers. We are looking for tangible, supported results – not only the aspirations that underpin an applicant’s products and services.
Travel suppliers should limit their entry to the Sustainability Partner category that most closely aligns with their primary service offering. Additionally, they may enter the Achievement in Sustainability Innovation and Sustainability Champion categories if applicable.
If travel suppliers choose to enter the same category for both the Americas and Europe awards, the stage one information may be the same or similar, but they MUST be prepared to include a different case study/set of testimonials if named a finalist for both awards programmes.
The entry process for all categories takes place in two stages:
Stage One
You will submit a short entry answering several questions focused primarily on your company’s internal sustainability initiatives. You will also provide a brief overview of what processes, policies, tools, products and/or innovations you have introduced for your corporate customers in the past 12 months to help them reduce their environmental impact. Please note strict word limits apply. The entry should be seen as a detailed summary of your efforts over the last 12 months.
Stage Two
Sustainability Partner of the Year Supplier Categories - If you are named as a finalist, you will submit a short case study expanding further on your entry allowing judges to decide an overall winner. Your case study submission should focus on how you collaborated with a corporate travel or meetings customer based/headquartered in Europe or targeted to the European region of a global travel programme. At this stage, you will also be able to upload supporting evidence and videos, if necessary. *Note: Your customer may not be your own company.
Achievement in Sustainability Innovation - If you are named as a finalist, you will submit 2-3 customer testimonials, as well as partner testimonials (if applicable). Your customer testimonial should come from customers headquartered in Europe or focus on efforts to advance sustainability for the European region of a global travel programme. At this stage, you will also be able to upload supporting evidence and videos, if necessary.
Managed Travel/Meetings Programme - If you are named as a finalist, our editorial team will conduct extensive interviews with your team and any key suppliers that have supported your efforts.
Sustainability Champion - If you are named as a finalist, you will be invited to virtually present a 5-minute pitch to the judging panel. Your pitch will outline why you should be named the Sustainability Champion and you will answer follow-up questions from the judges.
Please note:
- Travel suppliers should limit their entry to the category that most closely aligns with their primary service offering. Additionally, they may enter the Achievement in Sustainability Innovation and Sustainability Champion categories if applicable.
- The BTN Group reserves the right to recategorise submissions.
- Submissions should be made online via the awards platform.
- A minimum of 3 entries per category must be received for the entries to be judged.
- The awards are free to enter. If selected as a finalist, one representative from your organisation may attend the awards ceremony.
- All entrants (companies, teams, individuals) must agree to coverage by Business Travel News Europe if selected by the judges as a Business Travel Sustainability Awards Europe winner.
- A licensing package is available to the finalists and winners.
Timeline:
- Stage 1 entries open: Monday, 18 November 2024, 09:00 GMT
- Stage 1 entries close: Monday, 17 January 2025, 17:00 GMT
- Finalists announced & Stage 2 entries open: Monday, 17 February 2025
- Stage 2 entries close: Friday, 21 March 2025, 17:00 GMT
- Winners announced at the 5th Annual Business Travel Sustainability Summit Europe in London

Achievement in Sustainability - Managed Meetings Programme
This award goes to a managed meetings programme that has distinguished itself by demonstrating outstanding achievement in creating a more sustainable meetings programme. Managed Meetings Programmes may only submit for one award - either the Americas or Europe. It is recommended the programme submitting consider the location of the company headquarters and/or the regional focus of the programme’s sustainability efforts.
Self-nominations, as well as nominations from supplier partners are encouraged!
Please note: Finalists in the Managed Meetings Programme category will be contacted by the Business Travel News editorial team who conduct extensive interviews with key members of the managed meetings team and any key suppliers that have supported the efforts of the finalists.
Achievement in Sustainability - Managed Travel Programme
This award goes to a managed travel programme that has distinguished itself by demonstrating outstanding achievement in creating a more sustainable travel programme. Managed Travel Programmes may only submit for one award- either the Americas or Europe. It is recommended the programme submitting consider the location of the company headquarters and/or the regional focus of the program’s sustainability efforts.

Achievement in Sustainability Innovation
This award goes to the business travel supplier, brand, agency, or technology provider that has distinguished itself by solving a sustainability-related challenge for corporate travel buyers, business travellers and/or industry partners. This solution could be technology-, service- or product-based that has tangible, demonstrated results beyond a pilot or beta phase.
This submission must be unique from previous year’s submissions.
Please note: If you are a finalist in this category, you will have 5 weeks to submit testimonials expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Champion
This award goes to an individual who has distinguished themselves by demonstrating clear advocacy and leadership in advancing sustainability within the business travel industry who is based in Europe. This award is open to any person working within the business travel eco-system including travel managers, travel suppliers, consultants, advocates and association representatives.
Only one person per organization may be nominated.
Please note: Finalists in the Sustainability Champion category will make a virtual 5-minute presentation to the judging panel stating why they should be selected as the 2025 Business Travel Sustainability Awards Europe Sustainability Champion. Slides or short video clips may to accompany the verbal presentation. After the presentation, the judges will engage in a 5-minute Q&A with each finalist. These virtual presentations and Q&A will be scheduled the week of 7 April.
Sustainability Partner of the Year - Accommodation Provider
This award goes to the accommodation provider that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate customers. It is open to all categories of accommodation providers (excluding agencies).
For companies that own/operate multiple properties, the submission should come from the corporate office, not an individual property.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Airline
This award goes to the airline that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its customers.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Corporate Booking Platform
This award goes to the corporate booking platform that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its customers.
Corporate booking platforms include traditional online booking tools, meetings booking platforms and proprietary booking platforms.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Data and Reporting Provider
This award goes to the corporate travel supplier focused on the collection/reporting/analysis of sustainability data that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate travel customers.
Submissions are limited to corporate travel suppliers/partners that are not eligible for or who have not submitted in another Sustainability Partner of the Year category.

At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Ground Transportation Provider - Car Rental
This award goes to the ground transportation provider that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its customers.
It is open to car rental providers.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Ground Transportation Provider - Driver Hire
This award goes to the ground transportation provider that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its customers.
It is open to taxi, ride hail and chauffeured car service providers.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Large TMC
This award goes to the large size travel management company that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate travel customers.
It is open to TMCs that estimate having $5 billion or more in annual business travel sales booked globally in 2024.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Meetings & Events
This award goes to the meetings and events services provider (including, but not limited to agencies and venues) that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate meetings customers.
For companies that own/operate multiple properties, the submission should come from the corporate office, not an individual property.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Rail Operator
This award goes to the rail operator that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its customers.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
Sustainability Partner of the Year - Small or Medium TMC
This award goes to the small or medium size travel management company that has distinguished itself by demonstrating dedication to and achievement in reducing the environmental impact of its internal operations AND that of its corporate travel customers.
It is open to TMCs that estimate having less than $5 billion in annual business travel sales booked globally in 2024.
Please note: If you are a finalist in this category, you will have 5 weeks to submit a short case study expanding further on your entry allowing judges to decide an overall winner. At this stage, you will also be able to upload supporting evidence and videos if necessary. The finalists will be announced on February 17.
